Office Assistant (Jakarta)

  • Have previous working experiences with Government or International Development
  • Have fluent knowledge of the Italian language, Indonesian language: The equivalent of the level C2 of CEFR2, English language: The equivalent of minimum Level C1 of CEFR.
  • Workplace: Jakarta, Kec. Menteng, Kota Jakarta Pusat
  • Translate office documents from Bahasa Indonesia to English and from English to Bahasa Indonesia procedures and procurements (requests for quotations, invoices etc).
  • Prepare, collect and manage documents related to payments
  • Support the punctual payment of office utilities (e.g., electricity bills, phone bills, internet bill etc).
  • Fulfil files and prepare supporting documents in accordance with internal procedures.
  • Assist the Office with administrative procedures related to human resources (insurance, pay slips etc.).
  • Archive invoices and documents related to all financial transactions.
  • Archive other documents according to Office procedure.
  • Keep accurate recordings of expenditures and financial transactions, allocating expenses according to funding sources and budget codes, as per internal procedure.
  • Support the Office to manage relations with local banks (cheque fulfilling, international transfer, cash withdrawal, bank account opening and closing etc.)
  • Support the processing of payments through internet banking.
  • Manage bank reconciliation, cash flow and follow up on outstanding payments.
  • Provide support in the organization of meetings
  • Provide support, including logistics, for seminars and projects, as requested.
  • Assist the Office with travel duty logistics (VISA, tickets, reservations etc.)
  • Assist the Office on all logistic aspects related
  • Support the office in the coordination with Partners and Stakeholders (organization of meetings, calls etc)
  • Support the office with the participation in meeting with Partners and Stakeholders, as per Office indications
  • Support the Office in the preparation of minutes of meetings
  • Support the Office in the preparation of communication and visibility material
  • Provide other administrative and logistic support and carry out general office management duties if required.
